Building an Org Chart for a 100 to 1,000+ Employee Company in WordPress
An org chart is easy to maintain at 15 employees. At 150, or 1,500, it usually breaks down: someone builds it once in a slide deck or a drawing tool, and within a month it’s already out of date. New hires aren’t on it, departed employees still are, and reporting lines have shifted without anyone updating the chart.
This guide covers what actually changes about org charts once a company grows past a couple hundred people, and how to keep one accurate without redrawing it by hand every quarter.
Why static org charts stop working at scale
A static org chart, whether it’s a slide, a PDF, or an image on the intranet, works fine when headcount is small and change is rare. Past a certain size, three things break it:
- Change frequency increases. With more employees, there are more hires, departures, promotions, and reorganizations happening every month, each one requiring a manual edit to stay accurate.
- No one owns the update. Without a clear process, the chart update becomes someone’s occasional side task, and it slips.
- It stops being usable as a reference. An outdated chart is worse than no chart, since people start distrusting it and stop using it to answer real questions like “who’s my manager’s manager” or “who’s on this team now.”
What a maintained org chart needs
For an org chart to stay useful past a couple hundred employees, it generally needs:
- A single data source. The chart should be generated from actual employee records (name, title, manager, department), not redrawn from scratch each time.
- Automatic updates when reporting lines change. If someone’s manager changes, the chart should reflect that without a manual redraw.
- The ability to drill into departments. At scale, a single flat chart becomes unreadable. Being able to expand and collapse departments or teams matters.
- A connection to the rest of your employee data. An org chart is more useful when it’s linked to full employee profiles (contact info, role, location), not just a name and a box.
How this works in WordPress
Employee Directory generates org charts automatically from your employee directory data, rather than as a separately maintained artifact. Reporting relationships are set per employee (who reports to whom), and the chart builds and updates itself from that data.
This means:
- Adding a new employee and setting their manager places them correctly on the chart automatically.
- Changing someone’s manager updates their position on the chart without a manual edit.
- Users can click into any department or manager to see just that part of the organization, rather than scrolling a chart with hundreds of boxes.
For organizations whose employee data already lives in Microsoft Entra ID or an Active Directory/LDAP server, reporting relationships can sync in automatically too, so the org chart stays current without anyone updating WordPress by hand. If your employee data lives elsewhere, EMD Integrator can sync it from any external source via JSON. See our guides on Microsoft Entra ID sync and Active Directory & LDAP sync for how that connection works.
What to plan for as you grow
A few things worth thinking through as headcount increases:
- Decide who owns reporting-line accuracy. Even with an automated chart, someone (usually HR or an admin) needs to be responsible for keeping manager assignments correct when roles change.
- Plan your department structure before you need it. Retrofitting a department/team structure onto hundreds of existing profiles is more work than setting the convention early.
- Consider what should be public vs. internal. A public-facing org chart on your website may need to show less detail (no direct contact info, for example) than an internal-only version. See our guide on field-level access control for how to configure this.

Getting started
Employee Directory’s core plugin includes interactive, auto-generated org charts, reporting hierarchy management, and CSV import/export out of the box. For organizations that want reporting data to sync automatically, Microsoft Entra ID sync, Active Directory/LDAP sync, and EMD Integrator (for any other external source via JSON) are all available as add-ons.
